Timesheet Instructions

Work-study employees must document hours worked each day on an online timesheet. Timesheets should be submitted at the end of each pay period. NMSU pay periods are the 1st through the 15th and the 16th through the last day of the month. Online timesheets must be submitted no later than four days after the pay period ends. For questions about payroll deadlines, contact the Payroll Office at 575-646-8000.

On-Campus Work-Study Timesheet Instructions

  1. Sign in to your myNMSU and click on the Employee tab.
  2. Under Employee Quick Links, go to Time Sheet.
  3. Select the applicable timesheet pay period.
  4. Enter hours worked under each appropriate date.
  5. When the time sheet is complete for the pay period, click Submit.
  6. The timesheet will be submitted to your employer for approval.

Off-Campus Work-Study Timesheet Instructions

  1. Sign in to your myNMSU and click on the Employee tab.
  2. Under Employee Quick Links, go to Time Sheet.
  3. Select the applicable timesheet pay period.
  4. Enter hours worked under each appropriate date.
  5. When the timesheet is complete for the pay period, click Submit.
  6. After you have submitted the timesheet online, click Preview. The preview will show the complete pay period.
  7. Print the Preview in landscape format and submit it to your supervisor for approval.
  8. Once approved, your supervisor should initial or sign the printed timesheet.

For Employers (Off-Campus Work-Study)

After you have signed the printed worksheet, please scan and email it to finaid_busops@nmsu.edu. Veronica Fuentes will review the hours online and approve them electronically to payroll.

Employers will need to maintain their own copy of a student's work hours using a sign-in sheet of your choice. (This copy does not need to be submitted to the NMSU Financial Aid office.)

Employers should also retain a copy of the printed timesheet from the student. The student's total hours should not exceed the maximum number allowed by their work-study award. This is usually 20 hours or less depending on the hourly wage.
